Refund fraud at the point of sale
A refund moves money out of the drawer. Unlike a void, it does not need a guest to be standing there, which is what makes it attractive.
How the scheme works
The register issues a cash refund against a sale that no guest asked to reverse. Nobody is at the counter, no product comes back, and the drawer stays balanced because the system believes money was returned.
A variation refunds to a card the employee controls, which converts the same theft into a transfer and leaves a longer trail.
A third form refunds a sale that never happened, using a receipt retrieved from a bin or reprinted from the journal.
What it looks like in the data
- ✓Refunds issued with no corresponding return of product to inventory.
- ✓Refunds issued outside guest facing hours, or with no guest present at the terminal.
- ✓Repeat refunds to the same card number across unrelated checks.
- ✓Refund volume for one employee that does not track their sales volume.
- ✓Refunds shortly following a cash count or a drawer variance.

- ✓Whether a guest is present at the terminal when the refund is entered.
- ✓Whether anything is physically returned across the counter.
- ✓What happens to the cash after the drawer opens.
- ✓Who else is in the area, and whether a second employee is aware.
What to do about it
- ✓Compare refund rate against sales volume by employee, not against a flat count.
- ✓Flag refunds with no guest in frame at the terminal as a distinct exception class.
- ✓Match card refunds against the card numbers used for employee purchases.
- ✓Keep the exception, the journal lines, and the video in one record so the case does not have to be rebuilt later.
Refunds, answered
- How is refund fraud different from void abuse?
- A void makes a sale disappear. A refund takes money out of the drawer. Void abuse usually needs a paying guest to have been there. Refund fraud does not, which is why it shows up outside guest hours and why the absence of a guest in the video is itself the strongest signal.
- What is the fastest signal that a refund is not genuine?
- No guest at the terminal and no product coming back. Both are visible in the video, and neither is visible in the transaction report on its own. Pairing the two is the whole method.
- Does this work on the point of sale system we already run?

The other three schemes
A void reverses a line or a check that has already been rung. It is a normal, necessary function, which is exactly why it is the most abused one on the register.
A no sale opens the cash drawer without ringing a transaction. There are legitimate reasons for it. There are also very few of them.
A comp is a deliberate giveaway with a business reason behind it. Comp abuse is the same transaction with the business reason removed.
